Turn European requirements into specific demo questions.
Start with your actual hiring countries, languages, and tools. Ask vendors to demonstrate the exact configuration you would buy and document the gaps before choosing.
1. Check hosting and processing separately
A primary hosting region answers where the core system stores data. It does not describe every optional feature, integration, support service, or subprocessor. Ask which data goes through each service and request the current documentation for your chosen configuration.
Here’s what each vendor says about where your data lives:
BambooHR
BambooHR states that customer data is hosted in the United States, Canada, or Ireland depending on customer location, needs, and applicable laws. Confirm the location assigned to your account and processing by optional services.bamboohr.com (opens in a new tab)Checked Oct 2026
Breezy HR
The pricing page lists EU data centres for EU and UK customers as a Bootstrap feature, and higher plans build on Bootstrap. It does not name the location or say where other customers are hosted, and the terms of service state that the service is operated from facilities in the United States. Confirm the hosting region for your account and the subprocessors in the data processing addendum.marketing.breezy.hr (opens in a new tab)Checked Oct 2026
Factorial
Factorial's privacy policy states that the data it processes is hosted and processed in the EU, and that its service providers are generally in the EEA or in countries with an adequacy decision. It also says some data may be transferred to processors in third countries under standard contractual clauses. Confirm the subprocessor list in your data processing agreement.factorial.com (opens in a new tab)Checked Oct 2026
Greenhouse
Greenhouse runs on AWS with US, EU, and APAC silos. The EU silo uses Frankfurt (eu-central-1) and Ireland (eu-west-1) for disaster recovery. The security overview does not say how accounts are assigned to a silo. Confirm your account's silo and any processing outside the EU.support.greenhouse.io (opens in a new tab)Checked Oct 2026
HiBob
HiBob states that it uses AWS data centres in Ireland as the main location and Germany for backup, with AWS Frankfurt as its disaster-recovery location. Its subprocessor list gives the EU as the processing location for core hosting, with US or UK processing only for certain payroll and benefits add-ons. Confirm the arrangements for any recruiting integrations you enable.hibob.com (opens in a new tab)Checked Oct 2026
Homerun
For the ATS, the sub-processor list names Amazon Web Services with EU processing and SendGrid email with US processing. Homerun HR data uses Microsoft Azure in the UK. This is not EU-only; confirm which sub-processors apply to the features you use.homerun.co (opens in a new tab)Checked Oct 2026
Jobylon
Core sub-processors, including Amazon Web Services for hosting, are listed with EU server locations in Ireland and Germany. Some optional services are not EU-only: Twilio SMS runs in the United States and the Whereby video location depends on participants. Confirm which optional services your setup enables.jobylon.com (opens in a new tab)Checked Oct 2026
Lever
The help centre says some Lever environments are hosted on an EU data centre and use a separate EU login address. It does not explain how the region is chosen. Confirm whether your account will be EU-hosted and where sub-processors handle your data.help.lever.co (opens in a new tab)Checked Oct 2026
Personio
Personio states that its data is hosted in the EU, including Frankfurt, Germany. This general vendor statement does not establish the locations of every recruiting integration or optional feature; confirm the relevant data-processing agreement and subprocessors.personio.com (opens in a new tab)Checked Oct 2026
Pinpoint
The sub-processor list names hosting with AWS in Amsterdam, Ireland, Frankfurt, and London, Digital Ocean in Amsterdam and Frankfurt, and PlanetScale in Frankfurt. Several sub-processors, including Intercom, Postmark, Twilio, OpenAI, and Anthropic, process data in the United States, so processing is not EU-only. Confirm your primary location and which optional sub-processors you can disable.pinpointhq.com (opens in a new tab)Checked Oct 2026
SmartRecruiters
The sub-processor list gives Frankfurt, Germany, as the default hosting location unless the order form names another. AWS hosting is listed in Frankfurt, Ohio, or Sydney. Some sub-processors process data in the United States, including SendGrid email, Twilio SMS, and some optional services, so processing is not EU-only. Confirm your hosting region and which optional services you will use.smartrecruiters.com (opens in a new tab)Checked Oct 2026
TalentLyft
TalentLyft states that data stays within the EU and that it uses EU entities for subprocessors. This is a vendor statement; confirm current regions, the DPA, and processing for your selected integrations and features.talentlyft.com (opens in a new tab)Checked Oct 2026
Teamtailor
Customers can select Europe (Ireland), North America (Oregon), or Asia-Pacific (Australia). The Europe region mainly stores data with AWS Ireland and processes it in the EU/EEA; feature-specific subprocessors may transfer data outside these areas.support.teamtailor.com (opens in a new tab)Checked Oct 2026
Tellent Recruitee
Vendor documentation lists main infrastructure in Germany, files and backups in Frankfurt, and video answers in Ireland. Confirm current subprocessors and feature-specific processing.support.recruitee.com (opens in a new tab)Checked Oct 2026
Workable
The subprocessor list identifies AWS and Google Cloud hosting facilities in US East, and MongoDB storage in US East. Confirm your account configuration, attachments, backups, and feature-specific processing; this is not an EU-only hosting statement.workable.com (opens in a new tab)Checked Oct 2026
Zoho Recruit
Recruit developer documentation describes multiple data centers, including an EU account domain and EU API endpoint. Confirm the region assigned to your account and any feature-specific or subprocessor transfers.zoho.com (opens in a new tab)Checked Oct 2026
2. Test three different language experiences
Check the recruiter interface, public career site, and candidate messages separately. A translated job description does not necessarily translate the application form, scheduling messages, or confirmation email.
In a demo, publish a sample job in your required languages and walk through the application as a candidate. Check what happens when a translation is missing and who will maintain manually written content.
3. Define what an integration must do
Name the fields and actions you need, rather than asking whether an integration exists. For example: can a hired candidate become an employee record with the required fields, attachments, and start date?
Confirm the exact plan, integration fees, sync direction, API permissions, and responsibility for implementation. An API on paper is a good start; seeing it handle your own workflow is better.
4. Demonstrate the candidate data workflow
Ask the vendor to show permissions, retention settings, deletion, and export using sample data. Establish what the export includes and how attachments, notes, and records from integrations are handled.
5. Put the answers alongside the quote
Keep written confirmations of your essential requirements with the commercial quote. Separate included features from paid add-ons and implementation work. Use the same scenario to evaluate each vendor.
